Real live cards and real-time transcription, delivered through a bot that joins the call and bundled inside Outreach plans. If you already run Outreach and can accept a visible assistant in the meeting, it is a serious option. If you want a standalone overlay, it is not sold that way.
What Kaia is
Outreach markets Kaia under the banner of conversation intelligence and insights. The product page says it joins and records live meetings, captures real-time transcription and gives reps confidence in the moment with live battle cards. The company’s pricing page groups these capabilities as “Conversation Intelligence and Coaching” without using the Kaia name, so expect to see both labels. Outreach’s own web address has moved to outreach.ai, with the older outreach.io redirecting.
During the call
Kaia joins as a participant named “Outreach Kaia Assistant”, either automatically about a minute before a scheduled meeting or through a “Join with Kaia” button. It works with Zoom, Microsoft Teams, Google Meet and Webex. Once in the call it shows a real-time transcript, detects action items when they are spoken aloud, lets the rep drop notes and bookmarks, and displays content cards. Cards come in four types in the support documentation: competitor, product, integration and pricing. Administrators define what triggers a card and what it says. Content cards, smart meeting assist and custom topics are English only.
This is live guidance in a meaningful sense. The trade-offs are that everyone on the call can see the assistant in the participant list, and that the cards are curated by admins rather than retrieved from a general knowledge base. For teams that want tight control over what reps are shown, that curation is a feature.
Fit within Outreach
Kaia is not a standalone purchase. Outreach lists four quote-based Amplify tiers, Essentials, Core, Plus and Pro, and places conversation intelligence features across them. When we checked, “Live Coaching: Real-time Content Cards” was listed under Amplify Essentials and Amplify Plus but not under Amplify Core, with Pro including everything in Plus, so confirm the tier you are quoted includes the live cards. The value of Kaia is strongest when the rest of the workflow, sequences, deal management and coaching, already lives in Outreach. Recording, summaries and coaching analytics feed the same platform.
Limits to know
- A visible bot joins the meeting. Some buyers prefer that transparency; others find it changes the conversation.
- Requires an Outreach subscription, and not every tier lists the live content cards.
- English only for content cards and custom topics.
- Cards are admin-authored, so the library takes effort to build and maintain.
Who should choose it
Sales organisations already standardised on Outreach that want live cards, coaching and recording inside one system. For teams not on Outreach, or for reps who want an overlay nobody else can see, a desktop assistant such as SalesGhost or Cluely is the closer fit.
